Connecting your Aircall account to Voxjar allows you to automatically import call recordings, sync useful metadata like agents and tags, and leverage Voxjar to evaluate conversations at scale. This guide will walk you through the simple connection process and show you how to set up an automated import.
Step 1: Connect Your Aircall Account
First, we need to authorize Voxjar to access your Aircall data. This is a secure, one-time process that must be done by and Admin user of Voxjar and Aircall.
Navigate to Settings, and then click on the Integrations tab.
Click the Available button.
From the list of available integrations, find and click on the Aircall logo.
You will be redirected to an Aircall login screen. Enter your Aircall credentials to sign in.
Aircall will then ask you to authorize Voxjar and select which phone numbers you want to link to this integration. It is crucial to select all the numbers you wish to import calls from.
Once you complete the authorization, you will be redirected back to Voxjar.
That's it! The integration is now active.
Voxjar will begin an initial sync to import your Aircall metadata, including users, teams, tags, and phone numbers. This process may take a up to an hour depending on the amount of data. You will receive an email notification as soon as the sync is complete.
Important Note: You should wait for the initial metadata sync to finish before creating an import. This ensures that all of your Aircall agents and tags are available as filters.
Step 2: Create an Import for Your Aircall Calls
Now that Voxjar is connected to Aircall, you need to tell it which calls to import and what to do with them. We do this using an Import.
Click Imports in the left-hand sidebar, and then select Create Import.
Give your import a descriptive name (e.g., "Daily Aircall Sales Calls") and click Save.
For the Source, select Aircall.
Configure Your Import:
Filtering: Use the Agents and Tags filters to precisely target which calls you want to import. For example, you can choose to only import calls from your "Sales Team" or calls that have the "Follow-up Required" tag in Aircall.
Scheduling: Decide how often you want to import calls. Select Immediately to have Voxjar import a single batch calls from Aircall. Alternatively, you can set a schedule for data to import on regular, automated intervals.
Assign Evaluators: This is where you unleash the power of automation.
Toggle on AI to generate a full automated AI evaluation for each imported call. (you will need a scorecard first)
Your import is now active and will begin importing and evaluating calls based on your settings.
Use Cases & Creative Applications
Connecting Aircall opens up powerful, automated workflows. Here are a few ideas to get you started:
Targeted New Hire Coaching: Create an import that only pulls in calls from a specific new agent. Have Your AI evaluate 100% of their calls against your "New Hire Onboarding" scorecard for their first 30 days. This provides rapid, consistent feedback without any manual work.
Monitor Escalation-Risk Calls: If you use a tag in Aircall like "Complaint" or "Manager-Request," set up a import to import and evaluate these calls immediately. You can even use Voxjar's Scorecard Actions to send a Slack notification to a channel whenever a call with this tag gets a failing score.
Automated Quality Benchmark: Set up a "main" import that imports and evaluates 10% of all inbound calls each day. This gives you a continuous, unbiased view of your team's overall performance and helps you spot trends over time.
100% Coverage: Set up an import that brings in 100% of your calls each day and evaluates them with a "Best Practices" scorecard.
Frequently Asked Questions (FAQ)
Q: My calls aren't showing up in Voxjar. What should I do?
A: If your import runs but no calls are imported, here’s a checklist to find the cause:
Check Import Status: Navigate to Imports. Look at the "Last Run" logs for your Aircall import. If it shows "0 uploads completed," it means the import ran but couldn't find any matching calls.
Verify Aircall Settings:
Are numbers linked? Confirm that you selected the correct phone numbers during the initial integration setup in Aircall. If no numbers are linked, Voxjar has nowhere to pull calls from.
Are calls being recorded? Voxjar can only import calls that have a recording in Aircall. Check your Aircall settings to ensure call recording is active for the linked numbers.
Check Your Import Filters:
Is the date range correct? Make sure your import's interaction window (e.g., "last 24 hours") aligns with a period when recorded calls actually occurred on your linked Aircall numbers.
Are filters too narrow? Temporarily remove any agent or tag filters in your import settings to see if that allows calls to be imported. If it does, you can re-apply them one by one to find the issue.
Q: How are my Aircall users mapped in Voxjar?
A: During the sync, Voxjar imports your Aircall users as Participants (specifically, agents). This allows you to filter by them in Imports and see their performance in reports. You can manage them under the Settings > Agents tab and map them to Voxjar users from Settings > Users.
